Privacy & cookies notice
What we collect, why we collect it, how long we keep it, and what you can ask us to do about it.
Last updated: 9 October 2026
1. Who we are
Corporate Event Experts Ltd ("we", "us") is the data controller for personal data collected through this website. We are a private limited company registered in England and Wales under company number 17368711, with a registered office at 34 Richard Street, Crewe, England, CW1 3AG.
For anything in this notice, contact us at info@corporateeventexperts.co.uk or 07899 872153.
2. What we collect and why
| What | Why | Lawful basis |
|---|---|---|
| Name, company, email, phone | To respond to your enquiry and, if you become a client, to manage the work | Legitimate interests (responding to a business enquiry you sent us); contract, once we're working together |
| Event details: type, date, guest numbers, budget guide, your message | To give you a useful, realistic answer rather than a generic one | Legitimate interests |
| Delegate details you share with us during a project | To manage registration, catering, accessibility and dietary requirements | Contract, and our legitimate interests in delivering the event |
| Correspondence and project records | Contract administration, invoicing, and meeting our accounting duties | Contract; legal obligation |
We do not buy contact lists, we do not sell your data, and we do not add enquirers to a marketing list without asking you separately.
Special category data
Delegate dietary requirements and accessibility needs can reveal health or religious information. Where you pass this to us for an event, we handle it on the basis of the delegate's explicit consent (obtained by you at registration), share it only with the venue or caterer who needs it, and delete it within 30 days of the event.
3. Who we share it with
We share personal data only where it's needed to do the job:
- Venues and suppliers: names and requirements of attendees, for delivery of your event
- Netlify: hosts this website, receives contact form submissions and passes them on to our inbox
- Our email and file storage providers: to hold correspondence and project files
- Our accountant and, where required, HMRC: for invoicing and statutory accounts
Some of these providers operate outside the UK. Where data is transferred internationally, it is protected by UK adequacy regulations or the International Data Transfer Addendum to the EU Standard Contractual Clauses.
4. How long we keep it
- Enquiries that don't proceed: 12 months, then deleted
- Client project records: 6 years after the end of the engagement, to cover the limitation period for contract claims
- Accounting records: 6 years from the end of the accounting period, as required by the Companies Act 2006
- Delegate lists and dietary/accessibility data: 30 days after the event
5. Cookies
This website sets no cookies. We run no analytics, no advertising pixels, no social media trackers and no session cookies. There is nothing to consent to, which is why you aren't being shown a banner.
We load fonts from Google Fonts, which means your browser makes a request to
fonts.googleapis.com and fonts.gstatic.com. That request
discloses your IP address to Google but does not set a cookie. If you would rather it
didn't happen at all, the fonts can be self-hosted. Ask us and we will do it.
If we later add analytics or any other tracking, we will add a consent banner that blocks it until you agree, and update this notice first.
6. Your rights
Under UK GDPR you have the right to:
- Ask what personal data we hold about you, and get a copy
- Have inaccurate data corrected
- Ask us to delete data where we no longer have a good reason to keep it
- Object to processing we carry out on the basis of legitimate interests
- Ask us to restrict processing while a dispute is resolved
- Receive data you gave us in a portable format
- Withdraw consent at any time, where consent was the basis
Email info@corporateeventexperts.co.uk and we will respond within one month. There is no charge.
7. Security
This site is served over HTTPS. Form submissions are encrypted in transit. Access to enquiry data is limited to people who need it, on accounts protected by two-factor authentication.
We will never ask you to send payment card details by email, WhatsApp, text or through this website. Where a payment is due, we invoice you and you pay by bank transfer, or you enter your card yourself on our payment provider's secure page. If you receive a message claiming to be from us and asking for card numbers or a change of bank details, treat it as fraudulent and call us on 07899 872153 to check.
8. Complaints
If you're unhappy with how we've handled your data, tell us first and we'll try to put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
9. Changes
If this notice changes we'll update the date at the top. Material changes affecting current clients will be notified by email.
